Internal Regulations 2025

These regulations outline the terms of collaboration between the Festival Organizer and Partner Tenants (vendors, restaurateurs, artisans, etc.) participating in the festival. It addresses the main organizational questions and is an integral part of the rental contract as well as the selection file.

  1. Acceptance of Regulations
    As a Partner Tenant, you must read these regulations in full and acknowledge them before participating in the festival. Acceptance of these regulations is mandatory and must be validated by checking the corresponding box in your application file. This acceptance is a condition for participating in the festival.
  2. Compliance with Rules
    Compliance with the provisions of these regulations is mandatory. Any violation of the established rules may result in penalties, up to and including immediate exclusion from the festival.
  3. Management and Contacts
    The Festival is represented by Delphine Bourlier and Anne-Sophie Melis (Soul of Souk), who are your main contacts for vendor management (restaurants, artisans, and associations) for the 2025 edition of the festival.

“Rue du Bien Manger” Area

The Festival creates a space entitled "Rue du Bien Manger", in which the Tenant receives the possibility of setting up a foodstall, in order to sell food that has been agreed upon beforehand.

The following services are also included:

  • Access to potable water.
  • Dishwashing area.
  • Dedicated waste sorting center.
  • General lighting (string lights).
  • Overall decoration of the area.
  • Electrical supply per stand, according to your electrical needs specified in the contract.
  • Soul of Souk staff available at all times for support.
  • Security, fire, police, and emergency services present on-site during the festival (NB: no medical service during setup, but the Red Cross will be present during the festival).
  • Technical teams (e.g., electricians) ready to assist.
  • Site access starting Thursday before the festival to set up stands and until Monday morning at 6 am for dismantling.

PROVISION of the RENTAL SPACE

  • The stand must respect the dimensions specified in the estimate and contract, in both width and length.
  • Maximum height of the stand and decorations is 5 meters unless specifically agreed otherwise.
  • The Tenant must provide all equipment necessary for setup (tent, tables, barriers, chairs, lighting, 60 m extensions electrical cords, weights for your tent, something to close the front of your stand, etc.).
  • The stand must have internal lighting.
  • Illuminated signs are prohibited.
  • Projection systems are allowed indoors only.

ELECTRICITY

  • The Organizer provides electricity; the Tenant may only interact with the electrical panel to plug in or unplug.
  • Any handling in case of a failure is strictly prohibited and reserved for technical teams.
  • Electrical equipment must be compliant, in good condition, and suitable. Food trucks must provide an electrical compliance certificate.
  • If electrical consumption exceeds the planned capacity, fines will be applied, and exclusion is possible.
  • Inspections will be conducted to verify equipment compliance. Any necessary intervention will be billed at €100 excl. VAT.

DECORATION GUIDELINES FOR YOUR STAND

  • The Tenant should prioritize decorations made of natural materials (wood, fireproofed fabrics, bamboo, etc.).
  • Flammable materials are prohibited (inflatable stands or objects, candles, gel stoves, etc.).

SAFETY & HYGIENE GUIDELINES

Fire Departement
  • Each stand must have a minimum 6 kg ABC fire extinguisher and a visible fire blanket. (www.sicli.be). Extinguishers must be checked every year as they are valid for 12 months.
  • The number of gas cylinders must be communicated, connection pipe to the cylinder must bear a date of manufacturing of less than 2 years than the current year.
  • Fryers must have a lid, and only gas barbecues are permitted

Prohibitions

  • Use of wood or charcoal for cooking.
  • Use of burning gel or paste.

A fire inspection is scheduled for Friday starting at 12 pm. Non-compliant stands cannot open without additional authorization.

 

HYGIENE

Allergies

  • The public must be informed of any allergens (peanuts, gluten, lactose, etc.) in dishes.

Cleanliness

  • Vendors must keep their space clean, including disposing of cigarette butts.

SUSTAINABLE DEVELOPMENT

The Organization continues its commitment to environmental protection across various sectors in recent years. Food vendors in Rue du Bien Manger must comply with the following obligations:

  • Biodegradable” operation: The use of biodegradable plates, cutlery, bowls, cups, and napkins is mandatory. The Organization will conduct inspections.
  • Waste Sorting Requirements
    • Each stand will sort its waste. The Organization will provide bin holders with appropriate bags (Plastics, Metal / Compostable / Residual Waste). Additionally, a sorting station will be available in the area for glass, paper, cardboard, and used oils. For more information on sorting, please visit BEP Environment.
    • Public sorting areas, known as ECO-ZONES, are reserved exclusively for the public. Non-compliance with this guideline is a violation subject to penalties outlined below.

Condition Report + Deposit

  • A condition report will be conducted before and after the event, with photos taken. Any damage or missing equipment will result in partial or full forfeiture of the deposit.
  • Violations of these regulations will also be deducted from the deposit (e.g., non-compliance with allocated space, use of illuminated signs, etc.).

Examples of Violations

  • Depositing waste in public areas.
  • Failing to sort waste.
  • Using non-biodegradable materials.
  • Leaving the area in disarray after dismantling.

The Tenant has 15 days to appeal a penalty decision by sending a written, reasoned appeal by registered mail to Zig Zag asbl, avenue Monplaisir 77, 1030 Brussels.
