Rules of Internal Order Souks
These regulations outline the terms of collaboration between the Festival Organizer and Partner Tenants (vendors, restaurateurs, artisans, etc.) participating in the festival. It addresses the main organizational questions and is an integral part of the rental contract as well as the selection file.
1. Acceptance of Regulations
As a Partner Tenant, you must read these regulations in full and acknowledge them before participating in the festival. Acceptance of these regulations is mandatory and must be validated by checking the corresponding box in your application file. This acceptance is a condition for participating in the festival.
2. Compliance with Rules
Compliance with the provisions of these regulations is mandatory. Any violation of the established rules may result in penalties, up to and including immediate exclusion from the festival.
3. Management and Contacts
The Festival is represented by Delphine Bourlier and Anne-Sophie Melis (Soul of Souk), who are your main contacts for vendor management (restaurants, artisans, and associations) for the 2025 edition of the festival.
Festival – “Souks” Area
The festival provides a space called "Souks", where each Tenant can set up a stand to sell their goods (chosen during the selection). The tenant can be an individual but also an association.
The site is equipped with several services.
- General lighting (light strings).
- Overall decoration of the venue.
- Power supply per stand, according to the power indicated in the contract.
- Your personal pass.
- Security personnel present.
- Soul of Souk staff available at all times to accompany you.
- Security, fire, police, and emergency services present on-site during the festival (NB: no medical service during setup, but the Red Cross will be present during the festival).
- Technical teams (e.g., electricians) ready to assist.
- Site access starting Thursday before the festival to set up stands and until Monday morning at 6 am for dismantling.
Provision of Space
- The stand must respect the dimensions provided in the quote and the contract, both in width and length.
- The maximum height of the stand and its decoration is 4 meters, unless otherwise agreed.
- The Tenant must provide all the equipment necessary for assembly (tent, tables, barrier, chairs, lighting, extensions of at least 30 m, weights to stabilize the stand, etc.).
- The stand must be equipped with interior lighting.
- Illuminated signs prohibited.
- Any image projection systems authorized indoors only.
- Any other feature of the stand must be validated by the Organize
Electricity
- The Organizer provides electricity; the Tenant may only interact with the electrical panel to plug in or unplug.
- Any handling in case of a failure is strictly prohibited and reserved for technical teams.
- Electrical equipment must be compliant, in good condition, and suitable. Any non-compliant equipment must be repaired or replaced accordingly.
- If the electrical consumption exceeds the expected power, fines will be applied and exclusion is possible.
- It is strongly recommended to bring clamps, in order to attach your sockets and power strips at height.
- Inspections will be conducted to verify equipment compliance. Any necessary intervention will be billed at €100 excl. VAT.
Decoration guidelines for your stand
Please note that the festival requires special attention to the decoration of your stand. Simple, undecorated white tents are not favored. For aesthetics, it is requested to avoid or hide any material that is too openly high-tech, such as aluminum structures, etc.

- The Tenant must favor decoration in natural materials (wood, fireproof fabrics, bamboo, etc.).
- Flammable material prohibited (inflatable stands or objects, candles, gel stoves, etc.).
- It is very important to plan for the possibility of bad weather (we are in Belgium...), you are outside. The tent must protect the contents of the stand from the always possible rain. The wind can lift and completely turn a tent over.
- You need a solid tent, and plan to weight down the feet. Plan to close your tent for closings and at night.
- The stand must absolutely have lighting inside (otherwise it becomes a dark spot at nightfall)
- Illuminated signs are not permitted.
- There may be an image projection system inside the stand, but outdoor screens are not permitted.
- For any other special feature of the stand and its decoration, the Renter must make a proposal and obtain the Festival's agreement.

Prohibitions
- Any sale of tobacco, nicotine, CBD is prohibited on the festival site.
Hygiene
- Traders must keep their space clean, including the removal of cigarette butts.
Inventory + Deposit
- An inventory will be made before and after the event, with photos taken. Any damage noted will result in the partial or total non-refund of the deposit.
- For any non-compliance with these internal regulations, infractions will also be deducted from your deposit (e.g. non-respect of your location, use of illuminated signs, etc., etc.)

Examples of infractions:
- Damaging the location, trees and roots around it or during the journey to your location.
- Leaving the location in a mess after dismantling.
- Leaving trash or waste behind after you leave
- Being disrespectful to the staff working at the festival.
The Tenant has 15 days to appeal a penalty decision by sending a written, reasoned appeal by registered mail to Zig Zag asbl, avenue Monplaisir 77, 1030 Brussels.
